Title: Project for the Telefonica’s property plant management.
Problem: Telefónica as any big and complex company, has a big amount and variety of documents distributed in the corporation. As a requirement for this first project, the focus was the need of CAD drawings distribution and management of all companies all over the country.
Frequent delays, inefficiency and the imminent collapse of the documental base with costs in: loss of information, service quality and image. Drawings archive and storage in dispersed sources without centralized and unique logic of management for the creation, modification, distribution and drawing Access processes from different places in the country.
Solution: Design and develop a solution for the Technical Documents Management which meet the following goals:
Incorporate the CTC Documental Base concept as a productivity tool
Allow the controlled and “online” safe access and decrease the docuements (drawings) distribution and access times.
Automate the documental production process through the documental cycle management (creation, revision, approval, modification, distribution, publishing. audit, version control and printing).
Secure that documentation is properly protected in case of any event or catastrophe.
Restrict the Access to the information contented in the documents only to authorized users
Improve the automanagement in the information search and recovery , by the own users.
Improve quality and speed in the document delivey between the company’s areas (improve the service between the company’s workgroups.
Sustitute, when possible, the paper manipulation provileging the use of the computer as a basic tool to achieve better results (speed, effciency and quality).
Results: Currently, Telefónica counts with an operative electronic document management platform (EDMS EMC - Documentum) and with a solution for the drawing management being used. This gives it the ability to manage a single and common repository for more than 80,000 drawings and technical documents based on the business model designed especially for Telefónica.
The different telephone plants in the country have the possibility to Access drawings of their areas with Reading, edition or note permit according to the user profile. Through a version management logic it is possible to know the status and validity of each drawing generating alarms and notes over deadlines and events occurred in them.
The workflows implemented allow the follow up and control of the activities related to the process activities and times, responsible, control and status of the documents and, rules and standards meeting achieving significantly slow process times and its documentation associated in the detail degree required for each case.
