Company: Escondida Mining company Ltda.

Title: Design and implementation of a Corporate System for the Electronic Document Management System (EDMS) at Escondida mining company.

Problem: Difficulty to manage high value business critical process documentation. Big company, more than 1,500 users with a high environments and Workgroups diversity which generates big documents volumes with difficulties for document searching, usage, distribution and recovery and a waste of the accumulated knowledge of the company. The consequences of this situation were the indiscriminate increase of costs and the lack of corporate knowledge capitalization.

Solution: Consultancy for a EDMS implementation with the following stages: consultancy for business critical process collecting and no structured information associated to these processes, process collecting to the processes, consultancy for the corporate structure design and development for the documents and documental process management, WorldClass (EMC-Documentum) technological platform installation, procedure management for critical processes: Marketing, Strategic and management documents, drawings and documents from the construction area’s project, standards manuals and corporate procedures.

Results: Currently, “Escondida” counts with an EDMS World Class (EMC - Documentum) implemented and it is working. There’s a logical model at a corporate level able to receive new solutions for the process document management been developed. The components of the system are:

World Class EMC – Documentum technological platform for the content management in operation status to manage Intranet and Extranet contents.

A logical design for the content administration based on processes and groups by business areas. This design allows supporting the information control and all the business processes of the company.

Trained staff for the use and application of the defined procedures.

Document publishing system automated in the corporate intranet based on profiles and roles.

A critical process group managed and capitalized which can be operated via Web from any place around the world. The areas already incorporated to this new way of operation are: Marketing, Operation area construction Project, finance, administration and human resources.
